A workspace holds docs, folders, and chats. Everyone has their own workspace, and you can create or join team workspaces to work with other people in one shared place.

Your own workspace

When you sign up, Cleve creates a workspace for you named after you, like Alex’s Space (or Personal if Cleve doesn’t know your first name). Everything you create starts here. Your own workspace is yours alone until you invite someone to it. You can rename it from the workspace settings.

Switch workspaces

The workspace switcher sits at the top of the sidebar, under the Cleve logo. Click it to see your workspaces and choose one. Cleve reloads with that workspace’s docs, folders, and chats. A Team badge appears next to the name when the workspace is on a Team plan. If you open a link to a doc or folder in another workspace you belong to, Cleve switches to that workspace for you.

Create a team workspace

  1. Click the workspace switcher.
  2. Choose Create workspace.
  3. Give it a name and click Create workspace.
To invite people into it, the workspace needs a Team plan.

What’s shared in a workspace

Everyone in a workspace works from the same set of docs and folders:
  • Every member can open and edit every doc and folder in the workspace.
  • Every member can share the workspace’s docs and folders with people outside it, and answer access requests for them.
  • New docs and folders created in the workspace belong to it, so the whole team can find them.
Docs that someone shares with you directly are different: they follow you rather than a workspace, so you can open them from any of your workspaces, under Shared with you. See Sharing docs and folders.

Manage a workspace

Click the workspace switcher, then Manage next to the current workspace. The workspace settings have these pages:

Roles

Workspace members are either Admin or Member.
  • Admins manage the workspace: invite and remove members, change roles, set up the Team plan, and delete the workspace.
  • Members use the workspace: open, edit, and share its docs and folders.
The person who creates a workspace is its first admin.

Invite members

  1. Open Manage → Members.
  2. Click Invite, enter one or more email addresses, and choose a role.
  3. Send the invitations.
Each pending invitation uses a seat. If the workspace has no Team plan, Cleve offers to upgrade first. If all seats are taken, Cleve asks you to Update seats.

What invited people see

Invited people get an email invitation. When they accept:
  • If they’re new to Cleve, they sign up and go straight into your workspace. They skip the usual setup steps and setup checklist.
  • Their own workspace is created for them too, so they can switch between your team workspace and their own.

Remove a member or leave a workspace

  • Remove someone: in Manage → Members, open the menu next to their name and remove them. Admins only.
  • Leave a workspace: open Manage → General and choose Leave workspace. You lose access to its docs and folders, except anything that was shared with you directly.
  • Delete a workspace: admins can choose Delete workspace in Manage → General.

Seats and billing

Team billing is central: one Team plan covers the workspace, and you pay per seat.
  • Start a Team plan: go to Settings → Billing → Team Plans, or open Manage → Billing in the workspace. Only admins can start Team billing for a workspace.
  • See seats: Manage → Billing shows seats purchased, seats in use, and seats available. Members and pending invitations both count.
  • Add seats: click Update seats.
  • Invoices and payment details: click Manage billing.
If you already pay for an individual plan, the upgrade offers Cancel my [plan] plan when I upgrade to Team. Tick it to avoid paying twice; you keep using Cleve through the team workspace. If a Team plan is cancelled or ends, members beyond the included seats are removed from the workspace, most recently added first. Admins aren’t removed. For seat prices and what each seat type includes, see the pricing page.

API keys and workspaces

API keys created on a workspace’s API keys page work with that workspace’s docs and folders. Personal keys are in Settings → Developer → API keys. See the REST API reference.
